CONSIDER A wedding PLANNER

The number one way you are going to save yourself headaches when organizing your interstate wedding is to employ a wedding planner who is local to your venue.  This way you will have someone who can do site visits on your behalf, pull all of your suppliers together and answer any questions they may have, and be there on the day to make sure it all runs smoothly.  Wedding planners are definitely used to working with interstate brides and grooms and will be able to keep you in the loop throughout the whole process. They are also a wealth of knowledge when it comes to advice on things like managing your budget.

BE PREPARED WHEN SEEKING OUT YOUR VENUE

More than likely you will be visiting the venue in person at least once prior to booking. Even if you are viewing a few different spaces before making a decision, make sure you are as prepared as possible for each site visit so that you can leave with an abundance of information to assist you if you do decide to lock it in, especially if you won’t be visiting again until the wedding.  Some things to ask the venue for:

-A copy of the floor plan including dimensions
-A list of recommended suppliers who are familiar with the venue
-Images from recent weddings at the venue
-A list of all furniture inclusions so you can figure out what you will need to hire in (and don’t forget the smaller less obvious things like a cake table, gift table, lectern for speeches or tableware)

SECURE YOUR DREAM TEAM

One of the most helpful things you can do to make planning an interstate wedding MUCH easier is to book suppliers who have worked at your venue previously and therefore have prior knowledge of the space. Otherwise you can expect a barrage of emails in the weeks leading up to your day with questions regarding bump in /bump out times, rigging points for lighting, options for storage, power outlet locations, loading dock and parking access, and a whole lot of other venue related notes that you wont be able to answer. If a supplier is familiar with your venue then they will also be able to help make suggestions if you are stuck on things like floor plans, how much lighting you require, or which colours work well in the space. Once you have booked one supplier, you can ask for recommendations on other vendors that they have worked with before at the venue – if you secure a dream team that have worked together at the same venue then your set up will flow seamlessly.

complete tasks FROM HOME

Once you have put all of your trust and faith into your suppliers, it can be hard not to feel like you are a million miles away from everything with no clear idea as to how things will look or feel on the day – especially if you are a visual person. But don’t forget there is still a bunch of things you can organize and be involved with from home like your wedding stationery and guest favours, as well as choosing your wedding dress and bridal party attire.

CHOOSE SUPPLIERS WHO WILL ADAPT WITH YOUR SITUATION

When planning an interstate wedding it is really important to have suppliers on board that can work well with you long distance and will go the extra mile to make things convenient and stress free. It is so helpful to have suppliers that have a fast response time to emails and are readily available over the phone or through Skype so that you can be truly involved in the process. Here at Hampton Event Hire we love working with interstate couples and always do our best to make things as easy as possible – whether it is creating vision boards and furniture plans for clients or sending through helpful links and images. We also have friendly office staff who are available Monday – Friday who you can get in contact with at anytime.

So while it may seem daunting at first, planning an interstate wedding can actually be relatively painless with the right preparation and a helpful team on board. And it will all be so, so worth it when all of those countless emails and phone calls come together to create a truly beautiful wedding at a venue close to your heart!
